Senior Award Officer, Office of Sponsored Programs
Reports to: Senior
Director, Operations and Awards, Office of Sponsored Programs
Purpose: To
provide a full range of agreement administration services to an assigned
group of departments. Working with the proposals team to effectively
conduct all pre-award activities including proposal development and
budget preparation. To keep faculty updated of grant management rules
and regulations and any updates happening in the terms or conditions. To
administer the implementation of externally funded programs in
accordance with sponsors and AUC regulations. To manage all Memorandum
of Understanding (MOUs) as per AUC’s policies and procedures.
Principal Accountabilities
Minimum Education Requirement: Bachelor's degree, preferable in business or administration.
Experience: A minimum of 10 years experience including two years in the administration of externally-funded programs. Supervisory experience preferred

- Budget development:
- Develop budgets for proposals in close
consultation with the faculty member to determine the
appropriate project expenses. Verify the accuracy of the budget
figures with other offices such as the travel, purchasing and
controller. Ensuring that the budget format is compatible both
to AUC’s accounting system, and the funding agency’s guidelines.

- Review negotiations and development of
agreements/contracts to assure acceptability to AUC:
- Provide an important intermediary role between the University and external agencies as well as between project staff and University administration
- Agreements are primarily grants or contracts.
Reviewing a grant or contract entails reading the document
carefully to ensure that the rules imposed on AUC are applicable
and not commit AUC to unnecessary or unreasonable demands by the
funding agencies. Very often agreements will include clauses
that are either not applicable to AUC, or are applicable but may
be waived. In such cases, the job holder negotiates the terms
with the sponsor, with little or no assistance from the
supervisor. In some cases, he/she develops agreements

- Once the agreement is approved by the
administration, the job holder summarizes the rules and
regulations in simple language in a form entitled: “Proposal
Award Summary." This form serves to convey these rules to the
project director, the controller, the budget office, and to the

- Monitor, review and guide the actions
taken during implementation to assure compliance to sponsors’
regulations:
- Respond to the questions that arise from
project directors, grant accountants, and other AUC departments
about the execution of certain transactions. Often intervenes to
expedite transactions, or finds solutions to conflicts between
AUC procedures and sponsor regulations

the case of a multi-currency project, and finally transmits the

time from the sponsor and sometimes additional funds

- Creating work breakdown structure
accounts for new projects on SAP:
- Create new grants’ budgets on SAP in coordination with budget office and grants ‘office as per grant agreement. Provides principal investigators with work breakdown structures and budgets for new grants
- Prepare special reports and documents that communicate information on sponsored projects activities to AUC administration and departments
- Processing of Memorandums of
Understanding (MOU):
- Review MOUs received from academic areas
- Share MOUs with the International Office –if faculty/students’ mobility is incorporated
- Seek IP and- legal officer/s review and secure their clearances advising about any depicted deal-breakers
- Confirm the technical scope of the MOU with the technical office or school involved
- Process MOU for signature
- Keep soft and hard copies of signed MOUs
- Perform special assignments on as-needed basis
- Keeps updated of any advances in the field, keeps regulations fully updated, obtains reference materials as needed.

Skills:
- Extensive background in all phases of the grant/contract cycle from inception through completion
- Complete familiarity with sponsor policies and guidelines
- Thorough understanding of proposal preparation, award negotiations, and program administration
- Demonstrate oral and written communication skills
- Excellent English skills
- Good knowledge of Windows NT
