Officer, Property and Inventory Control

Principal Accountabilities:
  • Execute the annual and periodical physical inventory processes throughout the year; physically count the stores’ inventory and compare to inventory records to determine inventory overages/shortages
  • Audit the lists of the assets and stock supplies. Compare recorded assets against the physically scanned ones
  • Audit the university departments’ self-inventory of movable assets
  • Investigate and trace discrepancies, communicate untraceable items to locations to find them, follow up on untraceable items to get feedback and ensure proper closure
  • Print and tag all newly-received assets and re-print missing/incorrect tags. When equipment items are found to be missing University tags, print duplicate tags and attach them to the items. When new assets are received, check all goods receipts to verify that all the movable assets have been tagged
  • Guide/advise personnel who have responsibilities over University movable assets
  • Maintain filing records of personal custody and ensure that all items meeting the definition of sensitive minor equipment are entered in the University's equipment inventory records in SAP
  • Maintain and file employees’ clearance certificates to ensure having a personal custody transfer
  • Update SAP asset records with asset serial numbers and asset custody personnel data
  • Maintain filing records of all movable assets inter-transfer notes, transfers to and requisitions from stores
  • Control and trace the movable assets related to housing store and housing apartments
  • Participate in the sales process of university surplus assets and materials.
  • Perform other related duties as assigned
Requirements:
Minimum Education Requirement:  
  • Bachelor’s degree or equivalent
Experience:
  • A minimum of seven years of experience with five years in property, inventory control activities
